PMS Basics
What Is a Hotel PMS?
A Property Management System, or PMS, is the software a hotel uses to manage reservations, room assignments, guest check-in and check-out, billing, and daily front-office operations. It is the central system that front desk staff interact with throughout a guest's stay.
Core Modules of a Hotel PMS
- Reservations — booking, availability and rate management
- Front Office — check-in, check-out and room status
- Guest Folio & Billing — charges, payments and invoicing
- Housekeeping — room status updates and task management
- Reporting — occupancy, revenue and operational reports
Why It Matters for Small and Growing Hotels
Even a small property benefits from a correctly configured PMS: it reduces double bookings, keeps billing accurate, and gives owners visibility into occupancy and revenue. Many of the operational problems hotels experience — missing charges, incorrect rates, confusing reports — trace back to how the PMS was originally configured.
Common PMS Platforms in Kenya
Hotels in Kenya commonly use OPERA PMS, OPERA Cloud, and Prologic First, among others. Each has its own configuration logic, but the underlying operational goal is the same: accurate, real-time control of reservations, billing and reporting.
